Hi all – time for your news update from us. Just a couple of things this time.

Drum roll…UKRAINE fundraiser is live
As well as having the usual raffle at UK Meet this year, (in support of the Albert Kennedy trust) we’re having another charity fundraiser, in support of Ukrainian refugees. Our wonderful quilting angel, Chris Quinton, has made this spectacular quilt (blue and yellow, sunflower themed) to auction by sealed bid, the result of which we’ll announce at the meet itself. Anybody attending the meet as a delegate or a rainbow dinner guest is eligible to take part.

News about Friday evening: 
Opening ticket sales for this event has been put on hold, as we’ve not yet got our final contract from the venue and you know how we like to have everything signed and sealed. More news when we have it.


SPOTLIGHT DELEGATES – 02 May 2022

Time for your spotlight delegates’ monthly update: this time we’re focussing particularly on the USB sticks and sending material in advance. (All of our opportunities for spotlight delegates are just that – opportunities, not obligations.)

USB sticks

You are allocated a maximum 10mb of space on the USB stick we give to each delegate, to use for your promotion and/or free fiction samples. (If you’re also a sponsor you’ll have been given a different limit.) This needs to be sent to our stick-loader Pet at tuckerpuss@aol.co.uk. Deadline is July 31st. Please don’t make life difficult for her by missing the deadline or by sending her more than your allocation of megabytage. 

Sending material to the hotel

If you are sending books or promotional material to the UK in advance of the meet, you’ll need to make a note of this:

  • Please don’t send stuff too far ahead of time. The hotel will accept parcels from Thursday 1st September.
  • Make sure any parcels are marked with UK Meet (2-4 September) as well as the full address of the hotel: Leonardo Grand Harbour Hotel, West Quay Road, Southampton, SO15 1AG United Kingdom.
  • Packages must have any relevant duty prepaid. Neither the UK Meet team or the hotel will be able to pay excess postage or go to collect your things from a holding place.

Hi all – time for your regular update from us. September is getting very close!

A special event:
As well as having the usual raffle at UK Meet this year, (in support of the Albert Kennedy trust) we’re having another charity fundraiser. We’ll sell this in advance of the event, by a sealed bid auction, the result of which we’ll announce at the meet itself.

Friday afternoon:
We’ll be having a meet and greet at the event hotel as part of our registration process. Tea, coffee and cupcakes will be available free of charge (thanks to our lovely sponsors) and there will also be alternative snacks for those whose diets don’t allow the cupcakey substances. You don’t need to book for this.

Friday evening: 
We’re finalising arrangements for a small, ticketed event at The London Hotel, which is a pleasant 15 minute stroll from the Grand Harbour. The sales page for these tickets will go live next week and we’ll send the link when it does.

Rainbow dinner: 
Tickets are already on sale!  Tickets will remain on sale until early July, when we’ll cut off so we can plan the tables and notify the hotel well in advance. To book and pay for your place/s*, go to our website and make your food choices, with any notes about dietary needs. Also let us know who you do or don’t want to sit with. 
*You can buy as many tickets as you want – people often bring along their partners and sometimes, memorably, their mothers.

Spotlight fair:
Yes, we’ll be having this again, so you’ll be able to buy books from your favourite authors (there’ll be the capacity to place pre-orders for authors who want to offer them).  


SPOTLIGHT DELEGATES ONLY – 18 April 2022

Time for your spotlight delegates monthly update: we’ve had a number of questions come up, so we’re sharing the answers here. A reminder that all of our opportunities for spotlight delegates are just that – opportunities, not obligations.

  • Yes, you’ll have a space at the ‘Author Signing’ event during the weekend (should you want it). There you can sell goods and services, sign books, etc. We’ll list your pre-order links on our website to make life easier for you and your readers/customers. If you are sending books or promotional material to the UK in advance of the meet, make sure that:
    • You don’t send stuff so far ahead of time that you risk it being mislaid.
    • Packages are properly labelled and any relevant duty has been paid for. Neither the UK Meet team or the hotel will be able to pay excess postage or go to collect your things from a holding place.
  • Stuffing of goodie bags usually happens at 9.00am sharp on the Saturday of the event, so we’ll need any items to go in there by early (0855) on that Saturday. There will be capacity to drop off material on the Friday. In past years, we’ve had a fair amount of feedback about what delegates do and don’t like, although it’s hard to please everyone –  for each person who says they stick any cards or other paper material straight in the recycling, we have another who says they love those things. One of the things we have been ask to pass on is to avoid strongly scented items and we’d add please avoid anything which could leak over other bag contents. 
  • Photographer: yes, we’ll be having one at the event, so if your author photos need a spruce up, you’ll have a chance to have one done.
  • You’ll be allocated 10mb of space on the USB stick we give to all delegates, for your promotion and/or free fiction samples. When we give you the details of where and when to send your things, please don’t embarrass our wonderful ‘stick-loader’ by sending her more than your allocation of megabytage. 
  • A reminder about our charity raffle. We often get offers of books as prizes, but we decided a few years back not to accept them, so please don’t be offended if we say, “No thanks.”

Hi all – time for an update from us. Lots to share so please read it carefully. 

Friday afternoon:

Tickets are already on sale!  The price of £37 price includes a welcome Bucks Fizz/soft drink, 3 course dinner and coffee/tea, plus entertainment and dancing at the end for those who still have the energy. We’ll be digging down the back of the UK Meet sofa, as in past years, to see if we have enough funds to offer drinks on the tables, as well. To book and pay for your place/s*, go to our website and make your food choices, with any notes about dietary needs. Also let us know who you do or don’t want to sit with.

  • We’d like to feature you at our exclusive delegate Facebook group – because this is a strictly non-promotional group, we’ll get one of the admins to make the post. What we need is simply a paragraph or two about what the Meet means to you and/or what you’re looking forward to. Please mail your ‘post content’ to us and we’ll get it scheduled.
  • You’ll get space for promotional goods in the gift bag which we give to all attendees for a selection of your promotional goods. We’ll need these items by early (probably 0855) on the Saturday of the event. If you are sending material to the UK in advance of the meet, make sure of three things. (This advice is all based on our experiences at past events.)
    • Don’t send stuff so far ahead of time that you risk it being mislaid.
    • Please label packages properly – we’ll be advising you on this nearer the time.
    • Ensure you’ve paid any relevant duty that may apply. If you don’t, chances are your things won’t get through.
  • You’ll be allocated 10mb of space on the USB stick we give to all delegates, for your promotion and/or free fiction samples. We’ll let you know the deadline for that when we’ve fixed it.

Welcome to all our new mailing list subscribers. We keep being asked about ticket sales so we can confirm that a) general sales are open, b) we do still have places available and c) we’re starting to do all the add-ons – such as the rainbow dinner tickets, which go on sale on Monday.

To clarify, spotlight tickets are available for anyone who wants them (authors, reviewers, cover artists, etc). The extra you pay covers a range of promotional activities, such as having a table at the ‘book fair’ and being able to put things in the goodie bags.

Hi all and welcome to the latest delegate news. We’ve had queries about what will happen on the Friday afternoon – we can confirm that we’ll be doing a meet and greet (with refreshments) in a dedicated room at the event hotel and will be exploring options for the evening. More details nearer the time. 

Rainbow dinner tickets will go on sale on the 28th March – next week! You’ll have a choice of three options for each course and will, as usual, be able to say who you’d like to sit on a table with. Or not, as the case may be. Then we’ll work our magic and produce a plan. Please keep your eye out for an email with all the gen. We can confirm you can buy as many tickets as you like for the dinner so plus ones will be very welcome. 

Welcome desk: We’ve already had some volunteers for this (thank you!) and will be putting out our main appeal for helping hands nearer the time, as we will for goodie bag stuffing. That will follow the usual pattern, once famously described by one of our delegates as being like a country dance with half the dancers going the wrong way.

Hi all and welcome to the latest delegate news, the most important part of which this time is that we have finalised a menu for the Rainbow Dinner (and thanks to the delegates who helped us with checking our proposed choices had the widest appeal.) Tickets will go on sale at the end of March.

Programme: We’re moving towards finalising the programme, so make sure you’ve volunteered for a panel if you want to be one. Or to moderate a panel if that’s what you’d prefer.  All the info you need – including who to contact – is on the panels page of our website

Spotlight delegates: You are getting your own mailings about the things which are specific to you, such as when you need to send content for the event USBs or the arrangements for the book fair. 

Room shares: Have you joined our exclusive delegate Facebook group? You’ll find a pinned post there where you can advertise for roomies.

Photographer:- Unfortunately we aren’t able to have our usual event photographer this year, so we’re offering first dibs on this to you. We’ve had offers before from delegates for this role which we’ve not been in a position to take up, so please contact us if you or someone you know is interested this time round. 

FAO Spotlight delegates:- Please could you look at your details, which are linked on the attendees page , and let us know if anything needs changing. For example, is your website link right? Do you want your avatar updated?

You know the drill – go to our website and enter this password: UKMJANUARY. (No spaces.) Then you can register for your ticket. Early Bird prices will be available until 28 February 2022.
You can pay the full amount now by Paypal or guarantee your place by paying a deposit. All instructions and details are on the Registration page.

Please don’t share that password with anyone or buy a ticket for anyone else. We don’t want to risk people missing out. All mailing list subscribers will have been sent the code direct and 2020 delegates have their own access code. Note that tickets are not transferable. Remaining tickets will go on general sale at 12 noon GMT January 24th.

 In response to some enquiries from our ever-faithfuls, the UK Meet team has decided that we’re opening booking early, ONLY for our delegates who booked for 2020. So if that applies to you, you can book your 2022 ticket from now. That priority booking period will last until 11.59pm BST January 16th 2022.

You know the drill – go to the booking page and enter this password: PRIORITY2022. (No spaces.) Then you can register for your ticket. Early Bird prices will be available until 28 February 2022. You can pay the full amount now by Paypal or guarantee your place by paying a Deposit. All instructions and details are on the Registration page.

Please don’t share that password with anyone or buy a ticket for anyone else. We don’t want to risk people missing out. All 2020 delegates will have been sent the code direct.

Bookings for other people on the mailing list will open at 12 noon on January 17th, with any remaining tickets going on general sale at 12 noon January 24th. We will email you with the specific arrangements for those categories nearer the time.
